WooCommerce Chatbot Checklist: Policies, Products and Privacy
Prepare a WooCommerce chatbot with the right sources for policies, product variations, live stock and private orders. Use the merchant knowledge checklist.

Prepare a WooCommerce chatbot by separating three kinds of information: public policies, current facts about the exact product, and private customer records. Each requires a suitable source and a different response when the evidence is unavailable.
A public returns page can explain a policy. It cannot establish that an individual refund was approved, that a selected variation is available now or that a visitor is entitled to see an order.
Map store questions to the right source
Use the matrix below to prepare your store regardless of which assistant you choose. It is a merchant planning checklist, not a claim that a particular integration supports every workflow.
Do not solve a missing live-data capability by copying customer records into a public FAQ. Keep the actual account and order workflow responsible for private state.
| Customer question | Required source | Boundary to preserve |
|---|---|---|
| What is your return policy? | Current published merchant policy and its exceptions. | Policy explanation is different from approving a refund. |
| What does this item include? | The exact product and relevant attributes. | Do not infer accessories, compatibility or warranty terms. |
| Is the navy medium available? | The selected variation and current inventory/backorder state. | Parent-product availability may not establish variant availability. |
| What will shipping cost? | Applicable policy or actual calculation for the destination and cart. | A product price alone is not the delivered total. |
| Will it arrive by Friday? | Applicable processing/shipping evidence and any authorized current estimate. | An estimate is not a guaranteed arrival promise. |
| Where is my order? | Authorized order record after the required identity check. | Public knowledge and an order number alone should not disclose private details. |
Prepare the policies people need before buying
Make the store's actual shipping, return and cancellation information easy to reach. Keep geographic limits, product exclusions and relevant dates with the rule. If wording is unclear or contradictory, have the responsible merchant settle it before loading it into an assistant.
Baymard's product-page research describes shoppers looking for shipping costs before checkout. Use that as a reason to inspect your information placement, not as a conversion forecast for your store.
This worksheet helps organize your existing policies. It does not decide what policies or legal terms your business should adopt.
| Topic | Questions for the merchant | Evidence to record |
|---|---|---|
| Shipping | Which destinations and methods are actually supported? What changes cost or timing? | Current page, exclusions, source owner and date checked. |
| Returns | Which items and situations are covered? What steps must the customer follow? | Actual policy, exceptions and the approved request route. |
| Products | What is included, compatible or required? Are claims specific to a variation? | Exact product/variation and approved supporting details. |
| Help | Who handles an exception, damage report or individual question? | Working contact route and honest follow-up expectations. |
Check the exact variation and inventory meaning
WooCommerce allows variations to have separate prices and stock settings. Its documentation also describes inventory managed at the product level, variation level or a mixture of both. A general product match therefore needs careful interpretation before answering a specific availability question.
In the fictional example below, the parent shirt is visible but the requested option is unavailable. These are illustrative store records, not a live WooCommerce lookup or a demonstration of HostDesk variation support.
| Record | Fixture state | What it can establish |
|---|---|---|
| Parent shirt | At least one option remains available. | The product listing can exist; this does not prove every option is available. |
| Navy / medium | Out of stock; backorders disabled. | This selected fixture option is unavailable. |
| Navy / large | In stock. | Availability of this option says nothing about medium. |
| Assistant result | Only a parent product was matched. | Ask for or retrieve the exact option; avoid a variant-specific promise. |
Check permissions without assuming they prove the connection
WooCommerce provides read, write and read/write API-key permissions tied to a WordPress user. A workflow that only retrieves information should use the access it actually needs. Keep credentials server-side and out of public page content, screenshots and example worksheets.
Permissions are one part of the check. Verify the actual authorized connection, the selected store and the deployed lookup behavior. A saved 'connected' label or a successful product request does not prove that private order responses are properly restricted.
Also test the failure path. If a key is revoked or a provider is unavailable, the assistant should offer the supported help route rather than present old or invented state as current.
Keep order help inside its identity boundary
Decide what evidence your approved order workflow requires before returning details. Use synthetic records to test missing identity evidence, a mismatch and an unavailable order source. Avoid responses that reveal another customer's information.
Check the meaning of each returned field. An order marked processing is not proof that a parcel is in transit. A shipment-tracking feature needs its own supported data source; do not infer tracking from a generic order status.
Likewise, receiving a request to cancel or refund is different from executing it. The assistant should describe only the action the business has actually authorized and the outcome it can verify.
- Use the existing authorized account/help path where no verified lookup is available.
- Do not request payment credentials or passwords in a chat example.
- Keep public examples free of real customer names, emails and order references.
- Test successful and unsuccessful identity checks in an authorized environment.
Run this store-specific check before launch
Keep the policy sheet and question matrix beside your test results. Write what each answer should contain and which information must remain unavailable. Then compare the actual reply with those expectations.
A public-page preview can help examine the policy information a crawler can see. It does not prove a live store connection, current inventory, private order access or a completed transaction.
If you evaluate HostDesk, use its public preview for that limited first step. Verify the actual supported store workflow separately before relying on stock, variation, order or action claims.
- Check a policy question with an important exception.
- Check a product question that requires the exact variation.
- Ask for current state when the authorized source is unavailable.
- Test a private order question with missing or mismatched identity evidence.
- Follow the help or request destination and inspect the actual receipt.
